This privacy policy sets out how we use and protect any information that you give us when you use this website, or contact us by other means such as email or phone.

We may change this policy from time to time by updating this page. You should check this page periodically to ensure that you are happy with any changes. This policy is effective from 25th May 2018.

When you enquire using the online form

We ask for the necessary information to allow us to answer your enquiry.

  • your name
  • your email address
  • the number of people in the party, including under eighteens and babies
  • any specific dates and the property you’re interested in
  • it is optional to give your phone numbers

When you decide to book

We ask for a little more information.

  • your name
  • your email address
  • your home address
  • your home and mobile number
  • the names of all the guests staying
  • the age of any under eighteens
  • the ages and breed of any dogs (to help us tell you whether the property is suitable)

The booking procedure uses emails, so you may reveal your IP address when you email us. (We really wouldn’t know what to do with it, so don’t worry on that score!)

What we do with the information we gather

  • We use this information to process your booking. When you complete the online form on our website, your data is entered into a secure system, controlled by a password, compliant with GDPR. If you book via one of our booking partners such as Trip Advisor or Airbnb, your data is handled by them, and you must contact them direct for any queries regarding the data they hold.
  • Our usual method of contact is by email. If we are concerned that an email may not have arrived, (it happens more than you might realise!) we may text or ring you to ensure the booking process is as smooth as possible and you have all the information you need to enjoy your holiday.
  • We pass on your name, the number of guests and dogs to the owner of the holiday home you are staying in, simply for their records. We will only pass on your telephone number or email if a situation arises concerning the property that requires they make direct contact with you.
  • We use it to prepare invoices, accounts and any financial records required by ourselves, or the owners of the holiday homes we manage on their behalf.
  • We don’t add you to any mailing list so you won’t hear from us unless we need to make contact in relation to your booking or regarding the property.

Security deposits

For those properties that ask for a security deposit, we ask for your bank details in order to return the deposit after the holiday has ended. They are deleted from our bank account after the refund has been processed. If the deposit is paid by credit card, we do not hold your card details, the payment is refunded via the payment processor Stripe. See making a payment to a third party below.

After your stay

We send a single email thanking you for choosing to stay at one of our properties, asking for any feedback and inviting you to leave a review.

Own a holiday home?

If you own a holiday home and are interested in getting more bookings for it, then we have a specific form on the website for your enquiry.

We ask for:

  • your name
  • your email address
  • your phone number
  • the location of your property

We send out an occasional newsletter, via MailChimp, informing you of special offers, local events and any competitions that we may be running. Your details are not added as part of the booking process as we operate a separate sign up form for this. If you decide you’d like to hear from us, then you can sign up using the newsletter sign up form, clearly marked as such on this website, or by requesting that we manually add your details to the list. Every newsletter carries the unsubscribe function, so if at any point you change your mind, then a simple unsubscribe will take your details off the list. Alternatively just ask and we’ll manually delete your data from it.

Please refer to our cookie policy for more information about our use of cookies.

Links to other websites

Our website contains links to enable you to visit other websites of interest easily. However, you should note that we do not have any control over those other websites.  This is why we cannot be held responsible for the protection and privacy of any information which you provide whilst visiting such sites, and these sites are not governed by this privacy statement. Making a payment to a third party

We use Wave invoicing, processed by Stripe to take payments by credit card and recommend Transferwise for overseas payments.  These websites have their own privacy policies and as per the previous statement, are not governed by this privacy statement.

Security and storage of data

We take appropriate security measures to protect your data.

  • All devices that we use are password protected
  • We use anti-virus software and computer firewalls
  • We use secure rental management software called PIMS

Controlling your personal information

  • You have the right to request a copy of the information we hold about you and we will provide it if you ask
  • If you have signed up to our mailing list you can unsubscribe at any time, or contact us to have it manually deleted
  • We’re required by law to keep financial records for at least six years so we keep all data within our system for at least that long.
  • Where you have sent us details in paper form, we keep this for up to ten years before destroying
  • Emails are archived approximately once a year

We will not sell, distribute or lease your personal information to third parties, (other than the owner of the holiday home you are staying in as previously mentioned) unless we have your permission or are required to do so by law.

If you believe that any information we are holding on you is incorrect or incomplete, please contact us as soon as possible. We will promptly correct any information found to be inaccurate.

Finally, by continuing to use this website you are agreeing to the terms as set out in this privacy policy.
